Department Secretary to the Chair and Department of Health, Exercise Science and Secondary Education

The Secretary provides assistance to the Chair, faculty, students and those inquiring about the academic sector including but not limited to majors offered, teacher licensing procedures and athletic training licensing.

 

EDUCATION AND WORK EXPERIENCE

The Secretary to HESSE should have a minimum of three years’ experience in an administrative office preferably in an academic setting, and be proficient with Microsoft Office applications. A bachelor’s degree is preferred.

 

SKILL REQUIREMENTS

·        Excellent customer service skills with faculty, students and others visiting or inquiring about the university

·        Ability to multitask and work independently in a busy work environment

·        Ability to develop and maintain effective working relationships within the Helen Devos College of Education and University at large

·        Excellent record keeping and organization skills

·        Ability to respond positively to constructive criticism, guidance and suggestions for improvement regarding performance

·        Manage office budgets, purchase orders, office supplies, payroll and student workers

·        Ability to handle complex tasks, and prioritize responsibilities to meet deadlines

·        Present a professional appearance and attitude that is positive and flexible

 

ESSENTIAL FUNCTIONS:

·        Submit monthly payroll for faculty and bi-weekly payroll for student workers

·        Monitor department budget

·        Assist students in completing their TEP (Teacher Education Program) Files in preparation for their admission meeting

·        Work with and maintain files and spreadsheets that pertain to the department

·        Fulfill and follow up on budget requisitions, purchase orders and department petty cash

·        Maintain and update annual department faculty portfolio review, prepare 3rd year, tenure and senior faculty reviews

·        Maintain work load profiles for full time and part-time faculty

·        Maintain and update part-time faculty files

·        Organize and manage course information, classroom assignments, and course revisions

·        Complete and report course evaluations for all faculty

·        Answer phones, return messages, and schedule appointments for the Chair

·        Answer questions concerning department majors, minors, teacher licensure and Athletic Training licensure

·        Maintain and order office supplies for the department

·        Schedule department meetings, take minutes and follow up on agenda items

·        Man, maintain, set up and tear down department displays during on campus recruiting events (Frontline)

·        Schedule faculty members to attend Frontline

·        Hire and manage student workers
