Secretary to the Chair and Department of History, Political Science, and Humanities

The Secretary to the Chair and HIPSC department manages the department office and provides assistance to the Department Chair, faculty, and students. Secretary will have full knowledge of and abide by the terms detailed in this job description and all written or verbal policies, procedures and instructions established by administration in the Lee University Staff Handbook.



The Secretary to HIPSC should have a minimum of three years’ experience in an administrative office preferably in an academic setting, and be proficient with Microsoft Office applications. A bachelor’s degree is preferred.

·         Ability to multitask and work independently in a busy work environment


·         Ability to develop and maintain effective working relationships within the Department of History, Political Science, and Humanities, the College of Arts and Sciences, and the University at large


·         Excellent record keeping and organizational skills


·         Ability to manage office budgets, purchase orders, office supplies, payroll, and student workers


·         Ability to handle complex tasks, and prioritize responsibilities to meet deadlines


·         Willingness to respond to faculty needs in a timely and professional manner


·         Present a professional appearance and attitude that is positive and flexible


·         Possess a high degree of computer literacy with thorough knowledge of Microsoft Office applications and related office software and email


·         Ability to respond positively to constructive criticism, guidance and suggestions for improvement regarding performance




·         Maintain and update annual department faculty portfolio review, prepare third- year, tenure and senior faculty reviews


·         Maintain work load profiles for full time and part-time faculty


·         Maintain part-time faculty files


·         Work with and maintain all files and spreadsheets that pertain to the department


·         Submit payroll for faculty and student workers


·         Monitor department budgets


·         Organize and manage course information, classroom assignments, and course revisions


·         Complete and report course evaluations for all faculty


·         Answer phones, return messages, and schedule appointments for the Chair


·         Answer questions concerning department majors and minors


·         Maintain and order office supplies for the department


·         Schedule department meetings, take minutes, and follow up on agenda items


·         Maintain, set up, and take down department displays during on campus recruiting events


·         Schedule faculty members to attend campus recruiting events


·         Supervise student workers and approve all student worker pay hours


·         Prepare and submit student worker employment paperwork at the beginning of each semester


·         Assist with accreditation record keeping for The Southern Association of Colleges and Schools Commission on Colleges and Quality Enhancement Plan


·         Report maintenance and custodial needs of the Humanities Building for the department


·         Assist in the coordination and setup of major department events


·         Other functions as needed
