Administrative Assistant to the Vice President for Ministerial Development and Secretary to the Christian Ministries Department Chair

The Administrative Assistant to the Vice President for Ministerial Development (MD) also serves as the Secretary to the Chair of the Christian Ministries (CM) Department. This position supports the VP/department chair and other CM faculty, and provides service to students of the University community.

  • Assists the VP/department chair and other CM faculty with daily operations
  • Coordinates events, travel and meetings for VP/department chair
  • Manages the schedule and calendar of the VP/department chair
  • Handles all correspondence for the VP/department chair and CM department
  • Acts as receptionist for the CM Department
  • Manages MD and CM department budgets, vouchers, transfers and purchase orders
  • Answers and responds to all telephone calls for the CM department and VP/department chair in a courteous and professional manner
  • Maintains a central filing system for CM and MD
  • Assists with preparing semester class schedules
  • Compiles information for CM faculty workload profiles and reports
  • Supervises and trains student workers
  • Tracks and manages office supplies; orders supplies and stocks workroom supply cabinet
  • Reports maintenance and custodial needs for the School of Religion
  • Assists with maintaining information in CM faculty files
  • Prepares CM part-time faculty contracts as requested
  • Prepares third-year review, retention, and promotion packets
  • Maintains master syllabi for CM
  • Schedules, administers and types CM faculty/student course evaluations
  • Reviews and edits academic catalog for CM
  • Responsible to keep part time faculty informed of all CM and MD activities
  • Demonstrates ethical, moral and professional behavior in the office environment
  • Communicates effectively and establishes appropriate relationships with students, faculty, co- workers, and the general public
  • Manages tasks promptly, prioritizes responsibilities and meets deadlines
  • Responds to CM faculty needs in a timely and professional manner
  • Keeps accurate records, composes timely reports and ensures reliability and completeness of information
  • Manages announcements of student placement opportunities as needed
  • Assists with Moodle and other informational/technological systems as needed
  • Manages department social media information
  • Performs related duties as assigned


A college degree at the baccalaureate level AND five years of experience in an administrative office, preferably in an academic setting, including customer service experience. Must be familiar with database management systems, including reporting, and proficient with web-based, mobile, and PC applications, including but not limited to Microsoft Office.

A high degree of proficiency is required in Microsoft Word, Excel, and Outlook.
